Task: Ensure Proper Event Access Credentials Are Provided to Both Virtual and In-Person Participants

Objective:

To guarantee that all registered participants—whether attending virtually or in person—receive the appropriate access credentials and instructions, enabling them to participate fully and without delay.

Details:

  1. Segment Participant List by Attendance Mode
    • Categorize all registered attendees based on their mode of participation:
      • Virtual attendees
      • In-person attendees
    • Ensure that each group receives customized communication relevant to their experience.
  2. Provide Access Credentials for Virtual Participants
    • Set up secure virtual meeting rooms or platforms (e.g., Zoom, Microsoft Teams, Neftaly’s custom platform).
    • Generate unique access links or login credentials for each virtual participant if needed.
    • Send out these credentials at least 3–5 days before the event, with:
      • Step-by-step instructions for accessing the event platform
      • System requirements or software needed
      • Time zone information
      • Contact info for technical support
    • Send a reminder email 24 hours before the event with the access link and troubleshooting tips.
  3. Prepare Access Materials for In-Person Participants
    • Create digital or physical event passes (e.g., e-tickets, printed name badges, QR codes).
    • Include key information such as:
      • Participant name and role (e.g., guest, speaker, volunteer)
      • Event location, date, and time
      • Check-in instructions and contact number for support
    • Ensure that venue staff or volunteers are equipped with registration lists or scanners to check participants in smoothly on arrival.
  4. Technical and Logistical Readiness
    • Test virtual access links and login systems before distribution.
    • Set up a helpdesk or support team to assist participants who may face login or check-in issues on the day of the event.
  5. Maintain Privacy and Security
    • Ensure that access credentials are sent only to verified and registered participants.
    • Include disclaimers about not sharing links or passes to prevent unauthorized access.
