Pre-Event Responsibilities: Event Registration and Information Management
Objective:
To efficiently manage participant registration and collect all essential information needed to ensure a smooth, personalized, and well-organized Neftaly event.
1. Design and Launch Registration Platform
- Develop an easy-to-navigate registration platform (via website, app, or third-party service).
- Include all necessary fields such as:
- Full name
- Contact information
- Age and/or school affiliation (if applicable)
- Dietary restrictions
- Emergency contact details
- Session preferences or breakout selections
- Accessibility needs
- Ensure data privacy and compliance with relevant data protection regulations (e.g., POPIA, GDPR).
2. Promote Registration
- Set registration timelines and clearly communicate open and close dates.
- Share registration links through:
- Neftaly newsletters
- Social media platforms
- Partner organizations
- WhatsApp groups or community forums
- Use reminders (emails, SMS, or app notifications) to prompt early registration and confirmations.
3. Track and Manage Registrations
- Monitor registration numbers in real time to manage capacity and make logistical decisions.
- Categorize participants by:
- Age group
- Role (e.g., participant, facilitator, volunteer, guest speaker)
- Special requirements (e.g., kosher meals, transport needs, etc.)
- Export registration data for planning purposes—such as name badges, seating arrangements, and session planning.
4. Confirmations and Pre-Event Communication
- Send confirmation emails upon registration with key event information (date, location, dress code, what to bring).
- Follow up with:
- Event schedule
- Code of conduct or expectations
- Transport or accommodation details (if applicable)
- FAQs or contact information for support
5. Manage Last-Minute Changes
- Create a process for managing late registrations, cancellations, and substitutions.
- Keep an updated waitlist if the event reaches capacity.
- Ensure staff and volunteers are informed of changes to participant lists.
6. Prepare On-Site Materials
- Generate attendee lists, printed name tags, welcome packets, and check-in sheets based on registration data.

7. Integration with Other Planning Teams
